Measure the Space Before You Book
The most common setup-day problem is a tent that does not fit the reserved space. Measure your yard in both directions and add at least 5 feet of clearance on every side of the tent footprint. Stakes or canopy legs extend beyond the tent edge, and guests need room to walk around the perimeter.

Call 811 Before Any Stakes Go In
Frame tent stakes can drive 18 inches or more into the ground. Underground gas lines, water lines, and electrical conduit run through residential yards at unpredictable depths. In Kansas and Missouri, calling 811 before any ground penetration is required by law and is a free service.
Call at least three business days before your event. A utility locator will mark lines with paint or flags so the crew knows exactly where not to stake. If your yard has known underground irrigation, mark those lines separately since 811 does not always cover private systems.
Skipping this step can result in a burst water line or a dangerous gas leak during setup. No event is worth that risk.
Clear and Mow the Footprint
Remove everything from the tent area: patio furniture, potted plants, lawn ornaments, garden hoses, and children's toys. The delivery crew needs an open, walkable surface to lay out and raise the tent.
Mow the grass the day before delivery, not the same morning. Freshly cut grass is slippery, and clippings stick to equipment and linens. If any low spots or holes exist in the yard, fill them and tamp them down so the tent floor stays level and guests do not trip.
Check overhead clearance too. Tree branches that hang into the footprint at 12 feet or lower will interfere with frame tent installation. Trim them in advance or adjust your layout so the tent clears the canopy.
Plan Delivery Access
